Dear [Owner Name],
This letter is to inform you that on [date observed], a representative of the Association noted the following condition at your property, which does not comply with the community’s governing documents:
[Description of violation — be specific: what, where, and when observed.]
This matter is governed by [Section __ of the CC&Rs / Article __ of the Rules and Regulations], which states: "[quote or summarize the specific rule]."
We ask that you correct this condition within [14] days of the date of this letter, by [specific corrective action requested]. We are including this courtesy notice as the first step in our enforcement process and would like to resolve this matter informally.
If the violation is not corrected within the stated period, the Association may proceed with the next step of its enforcement policy, which may include a fine in accordance with the adopted fine schedule, and, if necessary, further legal action to secure compliance.
You have the right to respond to this notice in writing, or to request a hearing before the Board, within [14] days of this letter, if you believe this notice was issued in error or you would like to explain the circumstances. Please direct any response to [contact name/email/address].

How to use this template
- 1Fill in the date, owner name, and property address at the top.
- 2Describe the specific violation and the date it was observed — specificity protects the Association if the notice is ever challenged.
- 3Cite the exact CC&R section or rule being enforced, quoting or summarizing it.
- 4Set a reasonable cure period (commonly 10–14 days) and state clearly what corrective action is expected.
- 5Keep the tone professional and courteous — this is a first notice, not a final warning; always include the appeal/hearing-rights paragraph.
- 6Send by the delivery method your enforcement policy requires (often certified mail plus email) and log it in the owner’s file.
